Our company is seeking a friendly and organized individual to fill our Office Administrator position. You should be someone with great task & time management skills who can keep the company organized and running smoothly so we can share our creative ideas and our vision with the world! We are open to hiring either part-time or full-time. This position offers a lot of flexibility and is great for a parent.

MINIMUM QUALIFICATIONS:

  • Proficient with Microsoft Office applications including Word, Excel, and Outlook.

  • At least 3 years of previous work experience in a similar position.

  • Professional, courteous, and very friendly customer service skills.

  • Highly detail-oriented, organized, and able to multi-task and work independently.

  • Able to research and compare quotes for services, supplies, health plans, etc.

  • Team player with a problem-solver attitude and excellent work ethic.

  • Strong verbal and written skills.

  • Willing to learn new skills/technology.

  • Must provide appropriate vaccination records

  • Must be willing/able to wear a face-mask while on-site.

 

Preferred, not required

  • Knowledge of QuickBooks, Google Suite, and Slack is a plus.

  • Knowledge of early childhood education principles and “process art” approach.

Scheduling

  • Perform daily office administrative tasks including answering phones, sorting mail, and processing bills and invoices as well as managing inventory and ordering supplies.

  • Provide excellent customer service and promptly follow up with clients on event and class requests.

  • Write proposals to expand our program. Obtain and compare quotes for supplies and services.

  • Handle confidential information with discretion and sensitivity.

  • Issue and track onboarding documents and new hire paperwork. Review time sheets for accuracy.

  • Monitor expectations, performance goals, and priorities to elevate overall productivity and effectiveness, and ensure a consistent and excellent level of service.

  • Communicate procedural updates and changes as needed.

  • Anticipate the support needs of the business and proactively solve problems and/or independently handle issues as necessary.

  • Train new staff on payroll and other procedures.

  • Develop and implement processes and procedures to improve productivity and organization.

  • Coordinate team schedules to ensure coverage.

  • Review daily schedule and curriculum and update teachers about any changes.

  • Schedule and coordinate the necessary logistics for both in-studio and mobile programs.

  • Other duties as required.

  • We are open to hiring part or full-time. The minimum is 20 hours a week, maximum 40 hours a week.

  • Hours are somewhat flexible, although preferably most or all hours should fall between 8 and 5.

  • A hybrid (remote/in-office) schedule is negotiable.  

  • Paid time off after 60 days

  • Flexible schedule and partial remote work are negotiable
